Welcome to PickTables. These Terms & Conditions explain the rules for using our website, booking platform, restaurant dashboard, subscription services, and related tools.

By accessing or using PickTables, creating an account, making a table booking, listing a venue, or subscribing to one of our plans, you agree to these Terms. If you do not agree, you should not use our website or platform.

1. About PickTables

PickTables is a UK-focused online restaurant table reservation and venue management platform. Our platform helps:

  • customers discover restaurants and request table bookings
  • restaurant and venue owners manage reservations, tables, time slots, menus, reviews, subscriptions, and customer enquiries
  • businesses improve booking operations through a cloud-based SaaS dashboard.

PickTables provides the technology platform. We are not the restaurant, venue, food provider, hospitality operator, or event organiser unless clearly stated otherwise.

2. Definitions

In these Terms:

“PickTables”, “we”, “us”, “our” means PickTables and the business operating the PickTables platform.

“Platform” means the PickTables website, dashboard, booking system, owner tools, customer tools, plugins, software, APIs, widgets, emails, forms, and related services.

“Customer”, “Diner”, “Guest” means a person using PickTables to search for restaurants, make a booking, manage a booking, submit a review, or contact a venue.

“Venue Owner”, “Restaurant Owner”, “Operator” means a business or person using PickTables to list a venue, manage reservations, manage tables, receive booking requests, or subscribe to PickTables services.

“Venue” means any restaurant, café, bar, dining space, hospitality business, or similar business listed on PickTables.

“Subscription” means a paid plan purchased by a Venue Owner or business user.

3. Who Can Use PickTables

You may use PickTables only if:

  • you are at least 18 years old, or you are using the platform with permission from a parent, guardian, or authorised business representative
  • you provide accurate and complete information
  • you use the platform for lawful purposes
  • you do not misuse the booking system, dashboard, reviews, or communication tools.

If you create an account for a business, you confirm that you have authority to act on behalf of that business.

4. Customer Bookings

Customers can use PickTables to request or manage table bookings at listed venues.

When making a booking, you agree to:

  • provide correct name, contact details, party size, date, and time
  • arrive on time for your reservation
  • follow the venue’s own booking, cancellation, no-show, deposit, dining, and conduct policies
  • contact the venue directly for urgent changes, allergies, accessibility needs, or special requests.

A booking may be confirmed automatically or manually depending on the venue’s settings. PickTables does not guarantee that every booking request will be accepted.

The venue is responsible for honouring confirmed bookings, managing table availability, handling service issues, food quality, accessibility, allergens, and customer experience.

5. Venue Owner Responsibilities

If you are a Venue Owner or Operator, you are responsible for:

  • keeping your venue details accurate and up to date
  • setting correct opening hours, table availability, booking rules, menus, pricing, and cancellation policies
  • managing reservations promptly
  • accepting, rejecting, completing, or cancelling booking requests fairly
  • ensuring your staff access the dashboard securely
  • complying with UK laws that apply to your business, including food safety, allergen information, consumer protection, accessibility, employment, tax, and data protection rules
  • not posting misleading venue information, fake reviews, fake availability, or unlawful content.

PickTables may remove or suspend venue listings that appear inaccurate, misleading, harmful, fraudulent, inactive, or in breach of these Terms.

6. Account Security

You are responsible for keeping your login details secure.

You must not:

  • share your password with unauthorised people
  • allow another business to use your account
  • attempt to access another user’s account
  • use another person’s identity or business details without permission.

You must contact us immediately if you suspect unauthorised access to your account.

7. Subscriptions, Plans & Payments

Venue Owners may need an active subscription to access certain PickTables features.

Subscription features, limits, billing periods, and prices are shown on the pricing page, checkout page, or inside your account at the time of purchase. Do not rely on older screenshots, marketing pages, or outdated plan descriptions.

Unless stated otherwise:

  • subscription fees are charged in advance
  • subscriptions may renew automatically until cancelled
  • prices may be exclusive or inclusive of VAT depending on how they are displayed at checkout
  • you are responsible for ensuring your billing details are correct
  • failed payments may lead to suspension or restriction of your account
  • plan upgrades may take effect immediately or from the next billing period depending on the checkout setup
  • downgrades may reduce your access to some features.

PickTables may update plan features or pricing from time to time. If a material change affects your active paid subscription, we will aim to provide reasonable notice.

8. Cancellations & Refunds

You may cancel your subscription from your account dashboard or by contacting support.

Unless required by law or stated at checkout:

  • cancelling a subscription stops future renewals
  • access normally continues until the end of the paid billing period
  • partial refunds are not provided for unused days in a billing cycle
  • setup fees, custom work, migration work, and one-off service charges may be non-refundable once work has started.

If you believe you were charged incorrectly, contact us as soon as possible with your account email, invoice details, and payment reference.

9. Free Trials, Discounts & Promotions

PickTables may offer free trials, discounts, coupons, launch offers, or promotional pricing.

Promotions may be:

  • limited to selected users or venues
  • available only for a specific time
  • limited to one use per business or account
  • withdrawn or changed at any time before purchase
  • subject to extra terms shown with the offer.

After a free trial or discounted period ends, your subscription may renew at the standard price shown at checkout unless cancelled before renewal.

10. Platform Availability

We aim to keep PickTables available and reliable, but we do not guarantee uninterrupted access.

The platform may be unavailable due to:

  • planned maintenance
  • emergency maintenance
  • hosting, payment, email, SMS, or third-party service issues
  • security updates;
  • bugs, technical faults, or internet outages
  • events outside our reasonable control.

Where practical, we will try to minimise disruption and restore service as soon as reasonably possible.

11. Acceptable Use

You must not use PickTables to:

  • break any law or regulation;
  • upload viruses, malware, or harmful code
  • scrape, copy, harvest, or extract data without permission
  • interfere with the platform’s performance or security
  • attempt to bypass security controls
  • reverse engineer or copy our software
  • create fake accounts, fake bookings, fake restaurants, fake reviews, or misleading listings
  • harass, abuse, threaten, or discriminate against other users, venues, staff, or customers
  • send spam or unauthorised marketing
  • upload content that is illegal, defamatory, offensive, discriminatory, or infringes someone else’s rights.

We may suspend or terminate accounts that breach these rules.

12. Reviews, Ratings & User Content

Customers may be able to submit reviews, ratings, photos, feedback, or comments.

By submitting content, you confirm that:

  • your content is honest and based on your real experience
  • you have the right to submit it
  • it does not contain unlawful, abusive, false, private, or misleading information
  • it does not infringe another person’s rights.

PickTables may moderate, approve, reject, hide, or remove reviews where necessary to prevent abuse, spam, fake reviews, legal risk, or platform misuse.

You keep ownership of your content, but you give PickTables permission to display, store, process, edit for formatting, and use it in connection with the platform.

13. Restaurant Information, Menus & Availability

Venue Owners are responsible for the accuracy of their venue information, including:

  • opening hours
  • table availability
  • menus
  • prices
  • photos
  • facilities
  • location
  • cancellation rules
  • accessibility details
  • allergen or dietary information.

PickTables may display this information but does not independently verify every listing.

Customers should contact the venue directly for urgent or safety-critical information, including allergies, ingredients, accessibility, deposits, and special requirements.

15. Data Protection

PickTables processes personal data in accordance with our Privacy Policy.

Venue Owners are responsible for ensuring that their own use of customer data complies with applicable UK data protection laws. In some cases, the Venue Owner may act as a data controller and PickTables may act as a processor or service provider.

Where required, PickTables and the Venue Owner may need a separate data processing agreement.

You must not upload personal data to PickTables unless you have the right and lawful basis to do so.

16. Intellectual Property

PickTables owns or licenses all intellectual property rights in the platform, including:

  • software
  • dashboard design
  • booking tools
  • branding
  • logos
  • text
  • graphics
  • database structure
  • workflows
  • documentation
  • APIs
  • platform features.

You may use PickTables only for the purpose allowed by these Terms.

You must not copy, resell, reproduce, modify, distribute, or create competing products from any part of the platform without written permission.

Venue Owners keep ownership of their own venue content, menus, images, and business information, but grant PickTables permission to host, display, process, and use that content to provide the platform.

17. Confidentiality

Business users may receive access to non-public information, including customer details, booking data, dashboard features, pricing, reports, or platform processes.

You must keep confidential information secure and must not disclose it except where needed to operate your venue or where required by law.

18. Limitation of Liability

Nothing in these Terms limits or excludes liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation, or any liability that cannot be excluded under English law.

To the fullest extent permitted by law:

  • PickTables is not responsible for the food, service, safety, hygiene, quality, accessibility, or actions of any listed venue
  • PickTables is not responsible for venue no-shows, customer no-shows, late arrivals, booking disputes, or restaurant service issues
  • PickTables is not liable for indirect losses, loss of profit, loss of revenue, loss of goodwill, loss of data, or business interruption
  • PickTables is not liable for issues caused by third-party services, hosting providers, payment processors, email providers, SMS providers, plugins, or integrations.

For paid business subscriptions, PickTables’ total liability for claims relating to the platform will not exceed the amount paid by you to PickTables in the 12 months before the claim arose, unless the law requires otherwise.

19. Suspension & Termination

We may suspend or terminate your account if:

  • you breach these Terms;
  • payment fails or remains overdue
  • your account creates security, legal, or operational risk
  • your venue listing is misleading, fraudulent, inactive, or harmful
  • we are required to do so by law
  • you misuse the platform, bookings, reviews, or customer data.

You may stop using PickTables at any time. If you have a paid subscription, cancellation rules in Section 8 apply.

After termination, we may retain limited records where needed for legal, tax, accounting, fraud prevention, security, or dispute purposes.

20. Changes to These Terms

We may update these Terms from time to time.

If changes are important, we may notify users by email, dashboard notice, or website notice. The updated Terms will apply from the date shown at the top of the page.

Your continued use of PickTables after changes are published means you accept the updated Terms.

21. Governing Law & Disputes

These Terms are governed by the laws of England and Wales.

If a dispute arises, please contact us first so we can try to resolve it informally.

If the dispute cannot be resolved, the courts of England and Wales will have jurisdiction, unless consumer protection law gives you the right to bring a claim elsewhere in the UK.
